- Verification Documents: Scanned copies of your MBSTU Student ID card, university admission receipt, and passport-size profile photograph.
- Biometric Selfie Verification: A real-time camera capture taken during registration solely to verify identity and prevent account impersonation.
- Hall Service Records: Assigned room and bed numbers, meal token purchase and redemption history, maintenance complaint tickets, and clearance status.
How We Use Your Data
Personal information gathered through this portal is utilized exclusively for:
- Verifying authentic student status and authenticating portal logins.
- Organizing residential room allocations, bed rosters, and room change requests.
- Operating digital dining tokens, daily cafeteria meal accounting, and kitchen logistics.
- Emergency communication with guardians, house tutors, or university medical staff.
- Issuing official hall clearance certificates for semester exam registration and graduation.
Biometric Liveness & Verification Safeguards
The live selfie captured during document upload is used strictly to confirm authentic identity. Facial features are not shared with third-party vendors or used for public surveillance. Verification documents are stored in restricted storage accessible only to designated verification officials of the hall.
Data Security & Cryptographic Controls
We deploy multiple tiers of technical security to protect student information:
- Transport Encryption: All communications between your browser and our servers are encrypted via HTTPS (TLS).
- Password Protection: Passwords are cryptographically hashed using salted hashing algorithms and are never stored in plaintext.
- Role-Based Access Control: Access to student records is partitioned strictly based on administrative role (Provost, House Tutor, Staff, Student).
- Secure Session Handling: Authentication sessions are protected with encrypted, HTTP-Only cookies to prevent session hijacking.
Student Rights & Data Review
As an enrolled student of MBSTU, you have the right to inspect your profile data, review meal token transactions, and inspect your room allocation status. Requests to correct inaccurate profile details can be submitted via the portal or directly to the Hall Office.
Data Retention & University Archives
Personal data is retained throughout your active enrollment and hall residency. Upon graduation, essential residency and clearance records are archived permanently in the university registry for degree verification and alumni testimonials.
